Financial difficulty and debt sanctions

Contact Finance promptly about payment difficulty, and seek Student Funding/ENSA support. The Student Funding Team manages a hardship fund specifically for research-degree students; availability and eligibility need individual checking.

Before sanctions

Check your student email, including payment reminders. The debt appendix describes successive reminders and says Finance also informs the Doctoral College at the second reminder so the DoS/SRDL can encourage contact. The exact protocol varies with payment-plan circumstances; do not treat it as a guaranteed grace period.

Discuss realistic arrangements with Finance. Supervisors and IPC can give support but cannot change University debt policy in an individual case. Use My Napier Money for current Finance contacts and support links.

If DS status is applied

The appendix describes normally 21 days to contact Finance and work towards resolution, after which withdrawal steps may follow. Use the period stated in your own communication.

  • Access to library, systems or swipe-controlled offices may be removed; student email remains accessible.
  • Supervision, practical work and RD4/RD5/RD6 meetings stop while DS applies. Staff should continue pastoral support.
  • Previously held review paperwork is processed, but the committee outcome is withheld.
  • A thesis may still be submitted, but it is not sent for examination until DS is lifted.
  • Examination is halted, a viva cannot take place, and formal results may be withheld.
  • Visa consequences require specialist advice.

Time and support

Discuss suspension early where financial circumstances prevent study; it cannot be backdated. Loss of facilities due to DS is not itself an extension ground, although underlying circumstances causing difficulty paying may be considered.

Funding and safeguarding services remain available. After DS lasting over two weeks, or withdrawal followed by return, Finance notifies the Doctoral College so supervisors can help re-establish progress and check visa implications.
